How to organise a successful remote meeting

  1. Switch on your camera and have good light around you; a blurred or dark image makes it harder for your audience to make eye contact or focus on you.
  2. Have a clear purpose and objective for the meeting that you explain early on and inform about how the chat works, if there is one.
  3. Make sure you master the technology you use. It is easy to lose focus and become stressed if the technology starts to go wrong, you cannot be seen or heard properly.
  4. Inform early on what each participant needs to be able to participate in the meeting; is there any special technical equipment or computer programmes required?
  5. A distance meeting needs a designated speaker to steer the meeting forward. Introduce the participants to each other if they do not already know each other.
  6. As one dimension of a digital meeting is removed, the physical presence, you need to speak extra clearly and a bit slower and maybe even exaggerate your facial expressions.
  7. Background noises such as coughs and rasps can contribute to a sense of presence; leave the microphones switched on to avoid an unnatural silence, a sense of disengagement or a delay when someone is about to speak and has to switch on the microphone first.
  8. Evaluate the meeting once it is over to see what can be improved for next time.
