Good sound quality is essential for an effective and productive conference. Whether it's a video conference, teleconference or web meeting, poor audio can lead to misunderstandings, frustration and a poor experience for all participants.

This article gives you tips on how to ensure good sound quality and avoid common audio problems at conferences.

Preparing for the conference

To lay the groundwork for a smooth conference experience, you should test your equipment in advance by

  • check that the microphone and speakers/headphones are working properly
  • adjust the noise level to a comfortable level
  • switch off any applications that may create distracting background noise.

The choice of location is also important and you should bear that in mind:

  • find a calm and quiet place with minimal echoes and strong sound reflections
  • an acoustically treated room is optimal, but a regular office environment can work if you find a secluded nook
  • inform participants about the conference in advance and include instructions on how to connect and test their equipment
  • ask them to mute their microphones when not speaking to avoid unnecessary background noise.

Common noise problems and solutions during the conference

Echoing sounds, chopping sounds, background noise and too low or too high sound levels are common problems at conferences. To ensure good sound quality during the conference, it is important to use a good microphone. Place the microphone close to your mouth to ensure a clear voice. If you are in a noisy environment, there are 3 good options for you to choose from:

  • A headset microphone, placed close to your mouth, picks up your voice more clearly than a built-in microphone in a laptop or tablet. It also effectively blocks background noise, making it easier for other participants to hear you.
  • A noise cancellation software that installs on your computer or smartphone. It analyses the audio signal and filters out unwanted background noise, such as traffic noise or fan noise.
  • A microphone that has built-in noise cancellation technology. It works in a similar way to noise cancellation software, but requires no additional installation.

Some more tips for better sound quality when using microphones are to:

  • speak clearly and straight into the microphone
  • avoid mumbling or talking too fast
  • take breaks to let other participants talk and to avoid talking at each other.

If the sound breaks or stutters

If the sound starts to break up and stutter, you should:

  • Check your internet connection. A weak internet connection can cause audio problems.
  • Switch off any applications that require a lot of bandwidth. This can include programmes that download files or stream video.
