Meetings during Coronavirus, Covid-19
Below we have compiled a checklist on how we work and manage meetings during the ongoing Corona pandemic. As a basis, we follow FHM, the Public Health Agency of Sweden's, guidelines and continuously update ourselves as they change depending on how the situation develops.
Premises and furnishings
We are furnishing in a ”Corona-safe” manner, which means a greater distance between each participant. We will confirm with the booker what applies to this specific group. If the participants are from the same office, they can sit closer together according to recommendations, but if participants do not usually socialise, the distance should be 1 metre.
Techniques for the meeting
All rooms have permanently installed technology that enables remote meetings, such as video conferencing and telephone conferencing where participants connect via a link as desired. If the company has its own platform, that is also fine, but our technicians need to ensure that it works with our permanently installed technology solution. We can connect more rooms to the main room if the group wishes to spread out on-site.
Morning and afternoon coffee break
Coffee breaks are set up separately for each party, with the option to approach from multiple directions depending on the number of guests. Sandwiches/buns can be wrapped if desired, or served in a basket with tongs for guests to help themselves. Fruit with peel is recommended, or fruit salad in individual glasses.
Lunches and dinners
Our party venue is large, as are the four adjoining lounges, which allows us to completely separate parties. Tables for eight people can be set for four. The venue can be accessed from two sides, which facilitates logistics. We are careful to stick to the times so that no groups need to meet during mealtimes. We do not serve buffets but plate service. The plate can be plastic-wrapped or the lunch can be served in a box/bowl.
Cleaning
We have extra cleaning throughout the day and during breaks in common areas, toilets and on door handles.
In each conference room, napkins with hand sanitiser are available, as well as the opportunity for participants to sanitise their workspace. Hand sanitiser and signs regarding the Public Health Agency of Sweden's recommendations are displayed throughout the conference.
