When planning a conference, it's not just about inspiring content and rewarding meetings, but also about creating a safe and secure environment for attendees. At IVA Conference Centre, we want both guests and staff to feel well looked after, and therefore we have implemented a range of safety measures.

Access control and secure storage

To create a safer environment for everyone staying with us, we have implemented several measures to control access and protect both participants and property. These security routines are designed to give everyone on site peace of mind throughout the event.

For larger events, such as general meetings and seminars, we hire security guards to create a safe and secure environment.

Locked conference rooms

To protect both participants and equipment, all conference rooms are kept locked when not in use. Keys are provided only to the person responsible for the booking, ensuring controlled access.

Reception with staff

At IVA Conference Centre, the reception is always staffed, allowing for the monitoring of entries and exits. Furthermore, sliding doors can easily be locked from the inside to prevent unauthorised access.

Storage of valuables

We offer lockable lockers for guests who wish to securely store personal belongings. Our guests are encouraged to use these lockers to minimise the risk of loss or theft. An unattended cloakroom is clearly signposted.

Fire safety

At IVA Conference Centre, we carry out ongoing inspections to identify and rectify potential fire risks. This includes self-inspections covering everything from fire safety checks to patrols of the premises. Any deviations are reported and managed within a structured system.

Our staff participate annually in training that includes both evacuation drills and practical fire-fighting exercises. These training sessions and drills ensure that everyone is prepared to handle a potential emergency situation.

Furthermore, we immediately dispose of damaged technical equipment to minimise risks. We also use LED lighting throughout the facility, with the exception of our crystal chandeliers, to improve energy efficiency and reduce fire hazards.

Medical preparedness

Our staff undergo annual training in ABC and cardiopulmonary resuscitation. A defibrillator is also located in the reception area for quick access if needed.

In case of illness or accident, 112 should be contacted for immediate assistance.

Alarm and surveillance

In our reception, there is an alarm button directly connected to Securitas' area guards, who can be on site within a few minutes. The alarm is portable and available in two different locations within the property for easy access.

Furthermore, selected entrance doors are equipped with CCTV cameras to further enhance security and monitor entries and exits.

Handling of visitors with special security needs

For visitors with their own personal protection, we have established procedures to ensure doors are locked or supervised.

For larger events, such as annual general meetings and seminars, we hire security guards or stewards to create a safe and secure environment. These are usually stationed at the entrance or registration area to control access and provide assistance if needed.

Do you offer help with event planning and realisation?

Planning a major event takes time. We have coordinators to help with planning and, depending on the scale, we recommend an external event coordinator. We have an experienced team on site to ensure that everything runs smoothly.



Is there specialised equipment available for large events?

It depends a bit on what you are looking for, but we have great opportunities and experience with large events.



Are there VIP areas or exclusive spaces for special guests?

We do not have VIP areas, but are happy to offer a small conference room for special guests.



How do you customise your service for international events?

At IVA Conference we have international guests and events with great regularity. Both staff and service are therefore used to this. All staff speak English, so signage and communication is in English.
